Job Description

We are looking for a proactive and organized Office Assistant to join our team. The ideal candidate will be responsible for providing a high-quality reception service, managing phone calls, attending to visitors, coordinating agendas, organizing events, and providing general administrative support.

Responsibilities:

  • Reception:

  • Greet and receive visitors and calls in a professional and efficient manner.

    • Manage incoming and outgoing mail.

    • Support the Office Manager in coordinating and organizing office tasks.

    • Maintain the reception area clean and tidy.

  • Agenda Management:

  • Coordinate and manage schedules as assigned.

    • Organize and schedule meetings, video conferences, and internal events.

    • Make reservations for meeting rooms and audiovisual equipment.

  • Event Organization:

  • Collaborate in the planning and execution of internal and external events (meetings, conferences, etc.).

    • Manage event logistics, including catering, audiovisual material, and transportation.

  • Administrative Support:

  • Perform general administrative tasks, such as document management, report preparation, and database updates.

    • Support other departments with administrative tasks as needed.

    • Manage business trips, making flight, hotel, and transportation reservations.


Requirements:

  • Experience: At least 6-10 years of experience in a similar position in a large, technology-based company.

  • Languages: Catalan, Spanish, and English at a professional level.

  • Skills:

  • Excellent verbal and written communication skills.

    • Ability to multitask and work under pressure.

    • Organization and planning.

    • Customer orientation and proactivity.

    • Proficiency in computer tools (Microsoft Office, agenda management software).

  • Education: A university degree related to the position or similar is valued.

  • Advanced level of proficiency in Office Suite.

  • Experience in organizing business trips.

  • Availability to work in a dynamic team environment.
